A conventional inspection report
Records the property’s condition and findings at a particular point in time. It remains a useful snapshot and may have a separate statutory purpose.
RMS-RH
Live Rooming House Compliance & Evidence Management
A proposed self-service system designed specifically for Victorian rooming houses, helping owners, operators and managing agents maintain organised, accessible and up-to-date evidence throughout the property’s operating life.
A rooming house changes as residents arrive, rooms are inspected, work is completed and safety records are renewed. RMS-RH is being designed to connect each of those changes.
Records the property’s condition and findings at a particular point in time. It remains a useful snapshot and may have a separate statutory purpose.
Brings room histories, shared facilities, inspections, photographs, safety records and outstanding obligations together. New information updates the recorded position while earlier evidence is preserved.
RMS-RH is intended to complement required condition reports and specialist reports, not replace them. Rooming house compliance and record-keeping duties remain with the responsible parties.
These are planned product capabilities. They are not currently available through the public website.
A central view of the property’s current documented evidence and assessment status.
Separate inspection and evidence histories for every room, linked to the whole-house record.
Dated photographs captured by the property manager before advertising and occupation, where applicable.
Ongoing documentation of shared kitchens, bathrooms, laundries, dining areas and other facilities.
Central storage and due-date monitoring of electrical, gas, smoke alarm and other applicable safety records.
Planned email notifications for scheduled checks, certificate dates and unresolved requirements.
Record issues, assign responsibility, upload rectification evidence and verify completion.
A continuing history of inspections, uploaded evidence, status changes and responsible users, designed to preserve earlier records.
Downloadable summaries identifying the recorded evidence position at a particular date and time.
These labels explain the proposed system. No property findings or compliance records have been pre-filled.
All required records within the configured assessment scope are current, with no recorded unresolved compliance issues.
A scheduled requirement is approaching its due date.
An overdue obligation, recorded compliance failure or other critical outstanding requirement needs attention.
Insufficient verified evidence is available to establish the property’s recorded status.
The overall record is intended to reflect the most serious unresolved requirement. Red items must not be masked by current records elsewhere; evidence gaps remain grey until verified. The precise status rules will be tested before release.
A green status or generated notification represents information and assessments recorded in RMS-RH at the stated time. It is not an independent statutory certificate of compliance, a professional inspection or a guarantee of the property’s actual condition. Required safety checks and the legal responsibilities of owners, operators and managing agents continue to apply.
The property manager or authorised operator performs the checks and maintains the evidence. Professional on-site inspections by Rental Minimum Standards are a separate offering.
Unlimited self-service inspection updates are proposed within the subscription, subject to reasonable platform usage and storage limits. The platform is not continuous physical surveillance; the recorded position depends on accurate, timely updates and appropriate human review.
The proposed reminder sequence is 60, 30 and 7 days before a scheduled due date, on expiry or when overdue, followed by recurring escalation while the requirement remains unresolved.
Critical safety matters require immediate attention rather than waiting for routine reminders. The reminder function and escalation settings are in development and are not operating yet.
When all required records are current and no recorded issues remain unresolved, the proposed system will generate a dated notification identifying:
Historical snapshots are intended to remain available as the live record changes. Permanent audit-history retention is a design objective; final retention, export and storage arrangements will be confirmed in the platform terms.
